Austin Event Planners & Sponsors

Austin has a thousand people calling themselves event planners. About a dozen are the ones the venues actually call back. After a decade of running buses for their clients, here’s our working short-list — corporate, wedding, bachelorette, festival, and the private-event specialists who make Austin’s biggest nights happen. From Austin Nites Party Bus, the city’s group transportation team that’s rolled with all of them.
12Â PLANNERS PROFILED Â â—Ź Â 40+Â AUSTIN VENUES Â â—Ź Â 18-MINÂ READ
Anyone who has tried to plan a serious event in Austin knows the city has two distinct planner ecosystems. There’s the visible layer — the Instagram studios, the SXSW-week pop-ups, the marketing decks with cherry-picked photos — and there’s the layer beneath it: the operators venues recommend without being asked, the names that come up in Visit Austin ↗’s vendor lists, the planners whose preferred transportation, catering, and floral partners book out twelve months in advance.
This list is built from the second layer. We’ve been Austin’s group transportation choice for over a decade — running buses for tech IPO parties, ACL VIP shuttles, Lake Travis wedding weekends, and bachelorette circuits through Rainey Street. The planners below are the ones whose names come up most often when our phone rings for a party bus rental Austin booking.
Twelve names. Five categories. A brief profile on each, what they specialize in, and where to find them. At the end: the venue and vendor partners that show up across multiple planners’ client work, including how to book group transportation for any of them.
01. Â Pearl Events Austin
WEDDING · PREMIUM
The unofficial dean of Austin’s wedding planning scene. Pearl has been working Hill Country weddings, downtown Austin ballroom events, and Lake Travis estate weekends for over fifteen years — long enough that their preferred-vendor list is the closest thing Austin has to a gatekept rolodex.
Pearl events are typically multi-day affairs, often with welcome dinners at venues like Barr Mansion ↗ or The LINE Austin ↗, catering by Whim Hospitality ↗, floral by The Bouquet ↗, ceremonies at Hill Country properties, and after-parties that need real transportation logistics. If you’re booking Pearl, expect them to ask for vendor coordination meetings six months out.

CORPORATE · TECH
The corporate event planner the Austin tech scene actually trusts. SXSW activations, founder dinners, product launches, IPO parties, conference after-events. They run logistics for events at ACL Live at The Moody Theater ↗, The LINE, and the warehouse spaces in East Austin that the tech industry has gentrified into event venues.
For VC firm launches and SXSW founder dinners, we’ve shuttled their attendees from downtown hotels out to Lake Austin and back without a hitch, twice in one week during the height of SXSW 2024. The Coordinately Yours team is what professionalized corporate events in this city.
03. Â Bird Dog Wedding Co.
WEDDING · OUTDOOR
The planner for the couple who wants a Hill Country wedding but actually wants it to feel like Hill Country — not a Pinterest board copy of one. Bird Dog specializes in outdoor weddings at working ranches, vineyards in Fredericksburg, and the kind of properties that take 90 minutes to drive to from downtown Austin.
That last detail is where group transportation matters most. A Bird Dog wedding typically means shuttling 80–200 guests out from downtown hotels, holding them at the venue through the reception, and getting everyone safely back to Austin by midnight. We’ve worked their events at Westcave Outdoor Discovery Center ↗ and several private Hill Country properties.
If your venue is more than 30 minutes from downtown Austin, transportation isn’t a nice-to-have. It’s a non-negotiable.
04. Â The Nouveau Romantics
WEDDING · EDITORIAL
Austin’s most-published wedding planning studio. The Nouveau Romantics designs events that consistently land in Brides ↗, Martha Stewart Weddings ↗, and Vogue Weddings ↗ — which makes them the go-to planner for couples whose budgets accommodate magazine-grade design.
These are not large guest-count weddings. Most run 80–130 guests, but every detail is bespoke. Custom floral installations, hand-printed paper goods, sourced antique tableware. The kind of event where transportation has to match the aesthetic too — we’ve done discreet luxury shuttle work for their Lake Austin and Driftwood venue weddings.
05. Â A Day To Remember Events
WEDDING · VOLUME
If the previous three planners are the boutique end of the market, A Day To Remember is the high-volume side. They run more Austin weddings per year than nearly any other studio, with a deep bench that can execute multiple weekends simultaneously without dropping the ball.
That makes them the right call for budget-conscious couples who still want professional coordination, and for vendors (us included) who appreciate planners with documented systems. A Day To Remember sends timing schedules accurate to the minute — rare in this industry. Our drivers love working their weddings because the timeline never gets compressed in the last hour.
06. Â Lindsey Zamora
WEDDING · MODERN
The planner Austin couples in their late 20s and early 30s tend to gravitate toward. Lindsey Zamora’s aesthetic is modern, color-forward, and confident — the opposite of the rustic-chic visual language that dominated Austin weddings for a decade.
Her clients tend to book venues like The Laguna Gloria ↗ from the Contemporary Austin ↗, Hotel Saint Vincent ↗, and the design-forward East Austin warehouses. We’ve done Saturday-night party bus shuttles for her wedding receptions that turn into bar-crawl after-parties on Rainey Street — her couples know how to use the city.

07. Â Two Be Wed
WEDDING · MULTICULTURAL
Austin’s specialist for South Asian and multicultural weddings. Two Be Wed handles the multi-day, multi-ceremony, multi-venue logistics that come with Indian weddings, Pakistani weddings, and fusion celebrations — and the transportation requirements for those events are usually larger than anything in the "mainstream" Austin wedding scene.
A traditional South Asian wedding might involve a mehndi night at one venue, a sangeet at another, a ceremony at a third, and a reception at a fourth, spread across three days. We’ve run multi-bus circuits for Two Be Wed events where 200–300 guests need to move between five locations across the weekend. The logistics are intense; the planning is what makes them work.
08. Â Premiere Party Central
FESTIVAL · CORPORATE
The party planner ACL Festival weekend was built for. Premiere Party Central runs the corporate hospitality programs that adjacent to Austin City Limits Festival ↗, SXSW ↗, and the F1 race weekend at Circuit of The Americas ↗.
These aren’t the festivals themselves — they’re the brand activation events, sponsor dinners, and VIP after-parties that orbit them. Premiere runs everything from intimate 30-person founder dinners at venues like Jester King Brewery ↗ or the Tito’s Handmade Vodka ↗ distillery to 500-person sponsor activations, with the kind of transportation orchestration that requires multiple shuttle routes running simultaneously. Festival weekends are the busiest weeks of our year too — and where our Austin party bus rental fleet earns its keep.
09. Â Loft 23 Events
PRIVATE · MILESTONE
The planner Austin’s tech-money milestone parties go to. 40th birthdays, retirement celebrations, anniversary dinners that cost more than a wedding. Loft 23 specializes in events that don’t have a vendor-discount template — everything is custom.
Their clients tend to be Austin’s technology executives, professional services principals, and family-business owners. The events themselves are often at private homes in West Lake Hills, Tarrytown, and Lake Austin estates — which means transportation has to be discreet, on-time, and professional. The Loft 23 team has been a steady referral source for us for high-end private events for years.
10. Â Camille Styles Events
EDITORIAL · BRAND
The events division of Camille Styles ↗, Austin’s long-running lifestyle publication. Camille Styles Events brings the editorial sensibility of a magazine to the planning of brand activations, influencer dinners, and the kind of celebratory dinners that get documented for content.
Their events look like magazine spreads because they essentially are. The aesthetic carries through every vendor — including the transportation, which is part of why our buses get booked for their events. When the planner is also the publisher, the photo opportunities are everywhere, and every visual detail has to hold up.
11. Â Ah-Hum Events
WEDDING · INDIE
The favorite of Austin’s East Side creative community. Ah-Hum has a roster of musicians, designers, restaurateurs, and the broader independent-business community of Austin who want events that feel personal rather than formula.
Their venues skew east — French Legation Museum ↗, the warehouse spaces along the East Side cultural district, private homes in Cherrywood and Mueller. Ah-Hum events have a way of running long, in the best sense, and our late-night party bus shuttles often turn into impromptu Sixth Street or Rainey Street circuits because nobody’s ready for the night to end.
12. Â The Austin Bachelorette
BACHELORETTE · SPECIALIST
Austin is the bachelorette capital of America — and The Austin Bachelorette is the city’s dedicated planner for the genre. They run weekend programs that hit the venues every bachelorette in town is trying to book: Rainey Street bar crawls, Lake Travis pontoon shuttles, brunch reservations at the spots that are actually impossible to walk into — Suerte ↗, Uchi ↗, and Franklin Barbecue ↗ among them — and the South Congress shopping mornings that tie the weekend together.
The Austin Bachelorette is our most frequent direct referral partner for party bus Austin bookings specifically — we’ve run hundreds of party bus circuits for their clients across the past few years. If you’re planning a bachelorette weekend in Austin and you don’t live here, this is where you start.
